Getting started

Events, clients, locations and calendar

Create and edit bookings, find clients by name or phone, select venues, assign staff, and troubleshoot unsaved work.

Events, clients, and locations

Open Events (/events) and choose + New event. Select an existing client using the Client search, or use + New client. Event date, event type, and event name identify the booking. Refer to the field labels for current required fields. Do not invent a start or end time when the event is not scheduled.

Location and client address

The Location section offers Saved location, + New location, a one-off address, and Same as client address. The checkbox uses the selected client's address for the event location. A client must have an address for this to be useful. Check that the intended location is selected when returning from creating a location, and review the other event fields before saving. If previously entered fields disappear or the new location is not selected, report this as broken workflow behavior rather than telling the user that their event has been saved.

Packages, staff, and additional contacts

The event form has separate Packages & add-ons, Staff, Additional contacts, and Money sections. Select a package or add-on and use + Add to list. Use + Add staff for assignments and pay details, and + Add contact for a planner, venue contact, or coordinator. Catalog prices and event line items are not the same as completed payments.

Editing an event

Open an event number from Events or an event card from Calendar. The event detail screen has tabs for Event Detail, Staff, Packages, Payments, Messages / Forms, Appointments, Music, Gear, and Client Portal. Edit Event opens the full editor; Edit inline edits a displayed section where available. Review the selected client and location before saving. A blank picker is not evidence that a client or location has been deleted from the database.

Search and calendar troubleshooting

Clients can be searched by name or contact information. Phone search accepts formatting, E.164 numbers, or fragments of at least four digits. Events supports event numbers and client names. Calendar colors indicate status; they are not a substitute for checking the event's displayed status. If controls do not respond, ask which control and page are affected. Do not recommend a reload until unsaved work has been protected.
